Rental Policy

 
 

 

Each condo we manage represents a substantial financial investment by its owner.  We take our responsibility to maintain this owner’s property very seriously.  PLEASE maintain and respect this condominium and its furnishings.

Please read and familiarize all members of your party with the following Rules:

TERMS

Kilgore Realty LLC reserves the right to cancel or terminate at any time any Guest reservation that is found to be in violation of the Kilgore Realty rental agreement which is emailed upon reservations and listed here. Any reservation cancelled or terminated for reasons of Guest violation of Kilgore Realty policy remains subject to all applicable fines, charges forfeiture of payments and possible guest expulsion.

RENTAL PAYMENTS

All payments must be made with guaranteed funds and shall be due prior to or at the time of arrival. Guaranteed funds are mutally acknowledged as: Cash, Cashier's Check, Money Order, or accepted Credit Cards (Visa or Mastercard). Payments with accepted credit cards will include a processing fee equal to 4.5% or transaction total. Rental payments made with guaranteed funds that include Cash, Cashier's Check, or Money Orders will not incur a processing fee.

AMENITIES

The Sunset Harbor Condominiums (The Palms) and The Sunset Harbour Villas are two separate privately owned distinct entities.  Each community has its own unique amenities and guests are allowed to use only those amenities associated with the property in which they have reservations.

BALCONIES and PATIOS

No towels, swimsuits or other personal effects are to be hung across railings of patios or balconies.

DISORDERLY CONDUCT

Public Intoxication, loud and disorderly conduct or activity of any illegal nature will not be tolerated.

FIRE CODES

Fire codes prohibit the use of personal grills on patios or balconies.  Each community has designated grilling areas with grills provided.  Fire codes require that all walkways and balconies be kept free of bicycles, shoes or other items that could impede an Emergency evacuation.  Smoke detectors in condos should not be disabled.

Also, due to fire codes, property occupancy standards that allow for 2 persons per bedroom. When a sleeper sofa is provided in the living room an additional 2 persons may be allowed at the discretion of Kilgore Realty LLC.

CANCELLATIONS

 

It is to be mutually understood and accepted by both parties in the rental agreement the cancellation of existing reservations made on the part of the Guest is subject to administrative fees and penalty charges. No excused cancellation of reservations or refunds will be made for reasons of inclement weather. The Cancellation Policy of Kilgore Realty is subject to the following terms and conditions:

  • Cancellation by a Guest of an existing reservation must be received in writing. Email notification received by KilgoreRealtyllc@yahoo.com shall be considered acceptable for the purpose of cancelling reservations. Kilgore Realty will acknowledge any request for cancellation by email correspondence within 24 hours. Guest cancellation of existing reservations is subject to a minimum advanced notice of 14 days prior to scheduled date of arrival. An administrative processing fee of $50 will be billed to the Guest's credit card for any reservation cancelled with proper 14 day notice.
  • Cancellation by Guest of an existing reservation with less than 14 days written notice prior to scheduled dates of Guest arrival, OR Failure on the part of the Guest to arrive for the reserved periods will result in an administrative processing fee of $50 AND a penalty charge of 3 nights at teh applicable rental rate billed to the Guest's credit card.
  • Any Cancellation made by Guest for reasons of Death of an immediate family memeber (defined as: Spouse, Parent, Sibling, Child or Grandparent) OR for reasons of life-threatening medical conditions of an immediate family member OR for resons of life-threatening weather (ex. mandatory evacuations by Santa Rosa County) in Navarre Beach will have any administrative fees or penalty charges reversed unpon receipt and review of proper supporting documentation.

 

PROPERTY REPAIRS

Kilgore Realty LLC shall make every reasonable effort to ensure the proper performance of all appliances and amenity features and shall make any needed repairs or replacements in a timely manner during normal business hours. IT shall be a responsibility of the guest to inform Kilgore Realty, LLC of the need for any repair. Misuse of amenity features or failure on the part of the Guest to treat the entrusted property in a responsible manner may result in additional charges applied to Guest's credit card. Kilgore Realty can make no guarantee with respect to mechanical performance and may at its sole discretion elect to adjust rental rates or relocate Guest in instances of mechanical failure.

 

PROPERTY CONDITIONS

Kilgore Realty shall provide Guest with clean and sanitary conditions at the commencement of rental. Daily maid and linen service is NOT provided. A member of the Kilgore Realty housekeeping staff will clean the property at the conclusion of your visit. Guest must remove all items of garbage from the interior of property and place in the trash receptacle provided outside before departure. Guest must wash used dishes and cooking items before departure. A member of the Kilgore Realty staff will inspect the property at teh time of or immediately following the Guest departure. Guest is NOT responsible for laundering linens. Guest will be billed for any linen destroyed or left unsuitable for laundering. Guest must return property in resaonably respectable and clean condition. Any Guest concluding their reservatioin and leaving a property in an excessively dirty condition will have charges for additional cleaning billed to the Guest's credit card.


FISHING PIER

The fishing pier located behind the Sunset Harbor Condominiums (The Palms) is for use by residents andguests of that community only.  Guests with reservations at Sunset Harbour Villas are not permitted to use this pier unless invited and accompanied by a resident or guest of Sunset Harbor Condominiums (The Palms).  The fishing pier is private property and subject to trespassing laws.  Guests using the pier are reminded to observe all posted rules.

INTERNET

Internet service is available in select condos. Guests needing periodic internet service are welcome to use the wireless Internet access provided in the offices of Kilgore Realty, LLC during office hours.

LAUNDRY

Guests with reservations in condos that are one bedroom or larger have laundry equipment in their condo.  Guests with reservations in Studio size condos will find a coin operated laundry facility in the pool area of The Palms community.

LINENS

Bed and Bath linens are provided.  Each condo regardless of size is equipped with 6 bath towels, 6 wash clothes, 2 hand towels and 2 kitchen towels.  All linens are inventoried at the conclusion of a guests visit.  Guests are responsible for any missing or soiled linens that cannot be cleaned.  Replacement expense will be billed to guest’s credit card.

MAID SERVICE

Daily maid service is not provided.  Guests are responsible for maintaining their linens and condo conditions during their visit.  Guests who have left condos in excessively dirty condition will have an additional charge for cleaning billed to their credit card.

NO SMOKING

Smoking is only permitted on balconies or patios.  Smoking is NOT allowed inside of condos.  Evidence of smoking by a Guest inside any property will be subject to a Fine billed to the Guest's credit card in the amount of $1000.00 plus all costs, with no implied limits, for expenses associated with smoke remediation and property replacement.

NOISE

All noise levels are to be reduced to respectable levels after 11:00PM.

PETS

No Pets are allowed.  Violation will result in guest eviction and fines billed to guest’s credit card.

SWIMMING POOLS

 

Each community has it own swimming pool.  Guests should only use the pool associated with the community in which they have reservations.  The pool associated with Sunset Harbor Condominiums (The Palms) is rectangular in shape and is located beside Building 1 of Sunset Harbour Villas.  The pool associated with Sunset Harbour Villas is hour glass in shape and is located behind Building 4 of the Villas.  Each pool is open from 9:00AM – 11:00 PM.  There are no life guards; swimming is at guests own discretion.  No glass or metal items are permitted in the pool area for reasons of safety.  All children should be accompanied by a parent or legal guardian.  Obey all posted rules.

TRASH

Guests must empty trash daily.  No trash is to be left outside of the condo on walkways.  A dumpster is provided in the parking lot for each community.  Violation will result in fines billed to guest’s credit card.

Any guest found in violation of any of these rules is subject to expulsion from the property and fines.

DEPARTURE and CHECKOUT

Check out time is on or before 10:00 AM

In order to prepare condos for arriving guests we need your help in checking out promptly by 10 AM on the morning of your departure.  Late checkouts require pre-approval by Kilgore Realty, LLC.  Guests not checking out by 10:00 AM are subject to additional charges billed to their credit card.

PLEASE  EMPTY YOUR TRASH AND START YOUR DISHWASHER BEFORE LEAVING.
